Sold Out Frequency Report
The Sold Out Frequency report tracks how often menu items are marked as sold out across locations within a selected time period. It provides visibility into inventory availability patterns at the location level, the item level, and the individual action level. This report supports inventory monitoring, helps identify frequently unavailable items, and offers a detailed audit of every sold-out action recorded.
How to Access
By Locations Tab
The By Locations tab summarizes sold-out activity at the location level. It is intended for identifying which locations record the highest frequency and duration of sold-out events across the selected period.
Sold Out Instances by Location
The Sold Out Instances by Location chart ranks the top 10 locations by the total number of sold-out instances recorded during the selected period. Each horizontal bar represents one location, and the length of the bar reflects how many sold-out instances were recorded at that location. This chart provides a quick visual comparison of locations with the highest frequency of inventory changes, making it easier to identify the locations contributing most to overall sold-out activity within the selected filters.
Inventory Insights by Location
The Inventory Insights by Location table provides a detailed summary of sold-out activity for each location within the selected filters. It captures the total number of sold-out instances, the cumulative number of days affected, and the average duration of each sold-out instance per location, supporting a deeper analysis of availability patterns across locations included in the report.
It includes the following fields:

| Location Name | The location associated with the recorded sold-out instances. Each row represents a single location within the selected filters. |
| Total No of Sold-out Instances | The total count of individual sold-out actions recorded at the location during the selected period. A higher value indicates more frequent inventory changes affecting availability. |
| Total No of Days | The cumulative number of days during which one or more items were marked as sold out at the location. A higher value reflects longer overall periods of reduced item availability. |
| Avg Sold out per instance. | The average duration of each sold-out instance at the location is calculated as Total No of Days divided by Total No of Sold-out Instances. A higher value indicates that sold-out items tend to remain unavailable for longer periods before being restored. |
By Items Tab
The By Items tab summarizes sold-out activity at the menu element level. It is intended for identifying which items and modifiers are most often marked as unavailable across the brand and locations included in the filters.
Most Sold Out Items
The Most Sold Out Items chart ranks the top 10 menu elements by the total number of days they were marked as sold out. Each horizontal bar represents a menu element, and the bar's length reflects the cumulative number of days that element was unavailable across all locations included in the filters. This chart highlights the items that spend the longest time in a sold-out state, providing a clear view of the menu elements most affected by inventory limitations.
Sold Out Frequency by Item
The Sold Out Frequency by Item table provides a detailed summary of sold-out activity for each menu element within the selected filters. It captures the total number of sold-out instances and the cumulative number of days each element was unavailable across all locations, supporting individual item performance analysis and informed inventory management decisions.
It includes the following fields:

| Element Name | The menu element recorded as sold out. Each row represents one item or modifier within the menu hierarchy. |
| Parent | The parent menu elements to which the item belongs, such as sections, categories, or combos. Provides menu context for the sold-out element. |
| Total No of Sold out Instances | The total count of times the element was marked as sold out across all locations during the selected period. A higher value indicates the element is repeatedly affected by inventory changes. |
| Total No of Days | The cumulative number of days the element was marked as sold out across all locations. A higher value indicates a longer overall period of unavailability for the element. |
| Avg Sold out days per instance | The average duration in days of each sold-out instance for the menu element, calculated as Total No of Days divided by Total No of Sold out Instances. A higher value indicates that the element tends to remain unavailable for longer periods before being restored. |
Details Tab
The Details tab provides a record-level log of every sold-out action captured within the selected filters. It is intended for reviewing individual events, audit purposes, and analyzing total offline durations at the element level.
Menu Elements Inventory and Availability Log
The Menu Elements Inventory and Availability Log table provides a record-level view of every sold-out action captured at the location and menu element level within the selected filters. It captures the start and end timestamps of each action, the user or system responsible for initiating and ending it, and the total offline hours, supporting detailed audit and analysis of availability management across the brand.
It includes the following fields:

| Location Name | The location where the sold-out action was recorded. |
| Menu Element Type | The type of menu element affected by the sold-out action, such as Item or Modifier. |
| Element Name | The specific menu element marked as sold out. |
| Parent | The parent menu elements to which the affected element belongs, providing menu hierarchy context. |
| Sold Out Action Started At | The date and time when the element was marked as sold out at the location. |
| Sold Out Action Started By | The user account or system identifier that initiated the sold-out action. |
| Sold Out Action Ended At | The date and time when the element was returned to an available state. A blank value indicates the element is still currently marked as sold out. |
| Sold Out Action Ended By | The user account or system identifier that ended the sold-out action. |
| Total Offline Hours | The total duration in hours that the element remained marked as sold out for the record. A higher value indicates a longer continuous period of unavailability. |
Notes
Note: The bar charts on the By Locations and By Items tabs display the top 10 results only. Refer to the corresponding table on each tab for the complete dataset.
Note: Filter selections at the top of the report apply to all three tabs and update the chart and table on the active tab simultaneously.
Note: The Details tab message "Showing 1,000 of many rows" indicates table results are paginated. Narrow the filters to view a more focused dataset when results exceed the page limit.
Note: Date and time values reflect the local time zone configured for the corresponding location.
