Creating an Item Category/Group
Click on the Menu Item Groups icon
Click the '+' sign icon at the bottom right corner → Add New Item Group Name. Close the window using the X.
Creating New Item
Click on the Menu Items icon → Click on the '+' sign icon at the bottom right corner → Add New Item Name. Close the window using the X.
Setting/Changing Item Price
Set item price in the Pricing section
Mark an Item/Modifiers as Sold Out/86’d in Checkmate
Marking Items/Modifiers as Sold Out/86’d should be done within the Checkmate Portal.

Note: Setting an item to "Out of Stock" in the POS doesn't automatically reflect this status in the Ordering Platform. If an item is designated "Out of Stock" in the POS but remains available on the Ordering Platform, any orders for that item will be declined as the POS cannot process them. For this reason, we recommend customers mark items as out of stock directly in Checkmate rather than in the POS.
Marking Item as Available or Out of Stock in POS
Scroll within the window and Click “Available” to have the Item active/enabled or “Out of Stock” to have the item inactive/disabled in POS/System.
Adding Description to Item
Scroll down to Online Ordering Settings → Enter description in the Description box.
Assigning Modifier Group to the Item
Scroll to the Modifiers section → Select +New Linkage → Highlight the Modifier Group you’d like to assign to item and Select
Adding Item to a Menu Group
Scroll to Menu Item Groups → Find the Menu Group to add an Item to → check the box to the right of a group
Creating a New Modifier Group
Click on the Modifier Groups icon → Click on the '+' sign at the bottom right corner → Add New Modifier Group Name. Close the window using the X.
To Add Modifiers under the modifier group, → Click on Add Modifiers →. Select the modifiers from the list.
Including/Excluding Menu Item Group from Online Ordering
If there are Menu Item Groups that you would like to EXCLUDE from Third Party Ordering, complete the following steps for each Menu Item Group that you wish to exclude:
Go to the Menu Item Group → Check the box “Exclude from Third Party Ordering.”
Creating New Modifier
Click on Modifiers → Click on the + sign icon at the bottom right corner → Add New Modifier Name. Close the window using the X.
Setting Modifier as Available/Out of Stock
Scroll within the window and Click “Available” to have the Item active/enabled or “Out of Stock” to disable it in the POS System.
Adding Modifier Price
Scroll to Pricing → Enter the price in the Add section
Assigning Modifier to Modifier Group
Check the box(es) next to the modifier groups to which you’d like to add a modifier. You may add the modifier to multiple modifier groups by selecting them under Modifier Groups
Menu Updates and Ongoing Maintenance
How to Update Menu Item Name
Go to Menu Items → Select the menu item to update
Scroll down to Pricing → Update price → Click on 'X'
How to Update Menu Item Price and Availability
Use the Menu Items Bulk Editor function for quick edits to menu item price/availability.
Select Organization → Location.
In the Menu Bulk Editor, → Go to Menu Group, where the Item you’d like to edit exists.
Find the Item → Update price in the Price Standard column
Update availability in the Available column by unchecking/checking the corresponding box
Note: This will update the base price in your POS. The elevation percentage will apply to this new base price if Price Elevation is set in the Menu Manager.
How to Update Modifiers within the Modifier Group
Select Modifier Groups → Find the Modifier Group to edit in the left-hand column
To add a modifier → Select Add Modifier →
Find the modifier to add → Click ‘OK’
To Edit a Modifier, select the Modifier → Select Edit
This will take you to the edit screen for the modifier item → make edits accordingly
To Remove a Modifier, select the “-” next to the modifier you would like to remove
Select Yes to confirm the edit
Updating Item Descriptions and Images
To add menu item descriptions as you would like them to appear online:
Go to respective Items under Menu Items → Scroll to Online Ordering Settings → Description → Enter description
To update an item image, go to the Menu Item > Scroll to Extra Information > Choose Image

Final Step: Pushing Changes to the Ordering Platforms
Once all updates are made in your SpotOn back end, update the ordering platforms:
Go to Checkmate Portal and Click Push to Online Platform(s). The system will auto-sync every hour, and the changes will be pushed to the ordering platforms. Note: Our system will only sync if there is a change to the menu and will only push out to the ordering platforms once the sync occurs.
