This article covers how user roles and permissions work in Direct Ordering, how to update permissions, how to add new users, how to restrict a user to specific stores, and how a new user activates an account.
User Roles and Permissions
Before a new user is added to Direct Ordering, the user permissions for each role must be decided. Direct Ordering has five roles:
- Admin
- Catering Manager
- Manager
- Cashier
- Employee
The roles are ranked from highest to lowest, with Admin being the highest level and Employee being the lowest. Setting a user permission selects the lowest-level role that can perform a function; every role above it in the hierarchy can also perform that function.
On the User Permissions page, the Cancel Orders function illustrates how this works:
- If the role of Admin is assigned, only users with the Admin role can cancel orders.
- If the role of Employee is assigned, users with any of the five roles can cancel orders.
- If the role of Manager is assigned, users with the Manager role and above (Manager, Catering Manager, and Admin) can cancel orders.

The functions that require a role permission to be set are:
- View Catering Summary
- Refund Orders
- Add Locations
- Edit Orders - Quick Edit
- Edit Orders - Full Edit
- Cancel Orders
- Resend Email to Customer
- Confirm Orders without Sending
- Show "Wait Times" Page
- Turn Off Location Temporarily
For example, to prevent lower-level employees from turning a location on or off, set the Turn Off Location Temporarily permission to Manager or Admin. Only the selected role and the roles above it can then change a location's availability.

Activating a User Account
When a new user is created in the Direct Ordering backend, that user automatically receives an activation email. After creating a password, the user can log in and use the platform. The following guide shows the activation process.
